1. Who we are
WAssup Community Services (WAssup) is currently operated by Scott Bibby as a sole trader under ABN 49 495 986 762 in Western Australia. This policy applies to WAssup's website, the WAssup 108 Speakers Program, fundraising and donations, enquiries, organisational contacts, supporters, volunteers, suppliers, events and other current WAssup activities.
2. Our privacy standard
WAssup aims to follow strong privacy practice whether or not a particular privacy law applies to a specific activity. Where a legal, contractual or service-specific privacy obligation applies, WAssup will comply with it. WAssup uses the Australian Privacy Principles as a practical benchmark for collecting, using, storing and disclosing personal information.
3. What we may collect
Depending on the interaction, WAssup may collect names, contact details, organisation and role information, town or community, correspondence, information needed to assess or coordinate a speaker placement, donation and payment-reference information, communication preferences, public-recognition preferences, and photographs or recordings where appropriate permission has been obtained.
4. Sensitive information
WAssup does not seek sensitive information merely because it may be interesting or useful later. Where sensitive information is genuinely necessary for a legitimate activity, WAssup will limit what it records and use an appropriate lawful basis or consent. Information that is not needed should not be retained simply for convenience.
5. How information is collected
Information is usually collected directly through email, telephone, voicemail, letter, in person, Facebook, WhatsApp or another channel chosen by the person or organisation. WAssup may also receive information through an introduction or nomination, from an organisation acting with a person's knowledge, from public professional or organisational sources, or from ordinary banking, supplier, courier and Containers for Change records.
6. Why we use information
WAssup may use information to answer enquiries; assess and coordinate recipient organisations; purchase, deliver and account for equipment; manage contributions and Containers for Change activity; maintain financial and accountability records; provide agreed public recognition; coordinate suppliers, partnerships, media and events; protect people, property, accounts and systems; respond to access requests and complaints; and meet legal obligations.
7. Donor and supporter privacy
Public financial transparency does not mean publishing private donor information. WAssup may publish combined totals for income, expenditure, balances, purchases and deliveries. A donor's or supporter's name, contact details, bank reference or individual contribution amount will not be published unless they have clearly agreed to that specific acknowledgement.
8. Children and young people
Support is never conditional on publicity. WAssup does not seek private case information about individual children or young people. Identifiable photographs, video, audio, quotes or stories require appropriate permission and must follow the requirements of the responsible organisation. Privacy, consent, child safety and cultural protocols come before publicity.
9. Aboriginal community information and cultural protocols
WAssup recognises that respectful information practice extends beyond the legal definition of personal information. Community stories, cultural knowledge, images, names and recordings may be sensitive or subject to cultural authority. WAssup will respect local protocols and work through appropriate community-controlled organisations or authorised contacts.
10. Sharing information
WAssup shares personal information only where it is reasonably necessary for the activity, where the person would reasonably expect it, where consent has been given, or where disclosure is authorised or required by law. This may include suppliers, couriers, recipient organisations, banks, professional advisers or service providers involved in carrying out the relevant task.
11. Storage and security
WAssup takes reasonable steps to protect information from misuse, loss, unauthorised access, modification and disclosure. Access should be limited to what is needed for the work. WAssup will not ask for banking passwords, card PINs or one-time verification codes.
12. Retention and deletion
WAssup keeps personal information only for as long as it is reasonably needed for the activity, accountability, legal obligations or legitimate record-keeping. Where information is no longer needed and there is no requirement to retain it, WAssup may delete or de-identify it where practical.
13. Access and correction
A person may ask WAssup what personal information it holds about them and request correction of inaccurate or out-of-date information. WAssup may need to verify identity before providing access. Some records may need to be retained for legal, financial or accountability reasons.
14. Complaints or concerns
Privacy questions, access or correction requests, and privacy complaints can be sent to wassup@wassup.au or raised by phone on 0491 756 664. WAssup will consider the issue, correct information where appropriate, and explain the outcome.
15. Changes to this policy
WAssup may update this policy as its activities, systems or legal obligations change. The current version will be published on wassup.au with its effective date.
